FAQ – Submission Errors

Yes, for the numbers that returned an error. The only error message that does not require resubmission of information is, “Birth date DD-MMM-YY and birthdate method AB provided for tag 000000124000299999999 match its current birthdate information.” As this error is letting you know that the information already exists in the CLTS database.

If your submission results show errors, the information did not process correctly. You will have to assess the information to determine why it failed, then correct it and re-submit.

Successful events can be deactivated. Deactivating an event will not resolve an error on a transaction. The three methods of deactivation are listed below.

Deactivating Single Event: use this method to deactivate a single event for one tag/indicator at a time.

Deactivating a Transaction: use this method to deactivate all successful events on a transaction.

Note: Birth Date events cannot be deactivated using this method. Refer to Deactivating Single Event or Deactivating Through File Upload when deactivating birthdates or contact CCIA at 1-877-909-2333.

Deactivating Through File Upload: This is an advanced method which is used to deactivate specific events for individual tags/indicators or tag/indicator ranges from one or more successful transactions. If you require assistance with this option please contact CCIA at 1-877-909-2333.

Click here to access the instructions for each method.

There can only be one event at the same time for a tag/indicator in the CLTS database.

This error may appear when entering other events, but should not with birthdates.

To correct this error, confirm that the information has not already been submitted by performing a Tag/Animal History search.  Click here for instructions.

If the event has not already been submitted successfully, re-submit the information but use a time stamp when entering the date. e.g. YYYYMMDD should be changed to YYYYMMDDHHMM

File names must use only alpha (A-Z) numeric (1-0) characters; they cannot contain punctuation or symbols such as dashes (-) or slashes (/).

An example of an incorrect file name is: CCIA/birthdates-2020

An example of a correct file name is: CCIA birthdates 2020

To correct this error, change your filename to use only alphanumeric characters, then resubmit.

The CLTS database only accepts Microsoft Excel or Open Office Calc files, in either (. xls), (.xlsx) or (.csv) format. Microsoft Works or Word files are not acceptable.

In order to use the file upload method of entering events you must have Microsoft Office, OpenOffice or NeoOffice installed on your computer. You can download the latest versions of Open Office or Neo Office for free from the internet.

These errors mean that the information in a column has not been entered in the correct format. CCIA templates have specific format requirements which are described beside the column names as a comment. The comment can be displayed by moving the mouse cursor over the column name.

To correct this error, change the information in your file to reflect the format required for that column, then resubmit.

All headings in red on the CCIA templates are mandatory and must exist in an upload file. If you have information in any of the fields of the optional columns, that optional heading becomes mandatory as well.

To correct this error, confirm that the mandatory heading names appear in your spreadsheet and are entered exactly as in the CLTS database templates. To access all event templates: Click here

This error means that the tag/indicator number you have entered in the Tag_End column is a smaller number then tag/indicator number in the Tag_Start column. To correct this error, ensure you have entered your tag/indicator range correctly with the lower number in the Tag_Start column and the higher number in the Tag_End column.

This error appears because the Source_Account and/or Destination_Account columns have multiple account numbers.

If you are submitting information for one account only, confirm that the account columns only include the one account you are submitting for.

If you are submitting information on behalf of multiple accounts, you will have to limit your file to 100 accounts and create new files to accommodate the remaining accounts.

The event you are submitting is out of the sequence that a tag/indicator has to travel through.

For example, if you have submitted an issued event with a date of 20190206 and the distributed date is 20190208 then this error will appear because the issued date is before the distributed date.

The sequence of an approved CCIA tag/indicator must follow as below:

  • Allocated
  • Manufactured
  • Distributed or Issued
  • Issued
  • Animal Events: Birth Date, Move In, Move Out, Cross Reference, Temporary Export, Imported, Retired/Exported/Disposed

The sequence of a USDA/OTHER Country tag/indicator must follow as below:

  • Imported*
  • Animal Events: Move In, Move Out, Cross Reference, Temporary Export, Retired/Exported/Disposed

*The Retired or Disposed events do not require the Imported event first.

Confirm the tag/indicator number was entered correctly. If the number was incorrect, resubmit the information for the correct one.

Confirm the event date you have entered. It should be in the format of a 4-digit year, a 2-digit month and a 2-digit day. If the event date was incorrect, resubmit the information with the correct date.

If both the tag/indicator number and event date are correct, contact CCIA at 1-877-909-2333 or email info@canadaid.ca.

This error usually appears when attempting to deactivate birthdates. At the moment birthdates can only be deactivated one at a time or by file upload.

To view error messages you will first need to locate the transaction details. There are two ways to locate your transactions.

  1. Locating your transaction – On the CLTS database homepage your 5 latest transactions appear under the Recent transactions heading. To view the transaction details, click the Transaction ID.
  2. Once you have located and selected the transaction you want to view, the Request Details screen will appear. Select Display Records in the Error Records row to view the error message(s).
  3. The error message(s) will appear with the details from the submission. Click for a list of common error messages and their solutions. View the details and return to the Transaction Details screen.
  4. If you come across an error that you do not understand and the message does not appear on the list of common error messages, contact CCIA at 1-877-909-2333 or email info@canadaid.ca.

If you have a valid email address added to your account, the CLTS database can notify you when there are transaction errors. To turn this feature on:

  1. After logging into the CLTS database, click My Account.
  2. On the General Account Information screen, scroll down to the Account Preferences section and click Change Preferences.
  3. Select the option “Send me an email for files that have errors” and then click Update. You will now receive an email notification for submission errors.

Transaction errors only appear after the transaction has finished processing. There are a few ways to see if your transactions have errors.

  1. On the CLTS database homepage your 5 latest transactions appear under Recent Transactions. Under the Results heading records that were successful will have a green ✔, records that returned an error will have a red ×.

To find out which tags/indicators returned an error, click the Transaction ID to be taken to the results. To view more than the 5 latest transactions click where it says “See more transactions”.

  1. Alternatively, you can use the Request History feature found under the Search heading to search for your transactions that have an error.

For step by step instructions on how to perform a Request History search: Click here

You can check the current information on a tag/indicator by using the Tag/Animal History feature under Search on the header bar.

Note: You will only be able to view information that is associated with your account.

For step by step instructions on how to perform a Tag/Animal History search: Click here

All errors returned are permanently on record in the CLTS database and can never be erased, but can be corrected by submitting a successful transaction.

The event you are submitting is out of the sequence that a tag/indicator number has to travel through. This means the event you have submitted is missing a previous required event, for example in order for an animal event to be successfully applied to a tag/indicator there must be an Issued event.

The sequence of an approved CCIA tag/indicator must follow as below:

  • Allocated
  • Manufactured
  • Distributed or Issued
  • Issued
  • Animal Events: Birth Date, Move In, Move Out, Cross Reference, Replaced, Temporary Export, Imported, Retired/Exported/Disposed

If the identification number was incorrect, resubmit the information for the correct number.

Confirm the event date you have entered. It should be in the format of a 4-digit year, a 2-digit month and a 2-digit day. If the event date was incorrect, resubmit the information with the correct date.

The birthdate information you are submitting is already attached to that tag/indicator number, it cannot be applied twice.

Tag ____ is not in possession of _____. This tag/indicator number is not in your account inventory. If you are submitting a Replaced or Cross Reference event, a Move In event is required first.

Account_____ is not the issued destination account for tag 124000299999999. This error often will appear when attempting to age verify your animals. The error means that the tag/indicator is not part of your inventory.  If you are the original owner of that tag/indicator contact CCIA at 1-877-909-2333 or email info@canadaid.ca, to correct this. If you are not the herd of origin for the tag/indicator, you are unable to submit birth date information.
