FAQ - File Upload
FAQ – File Upload
When I receive an error after submitting information, do I have to submit the information again?
Yes, for the numbers that returned an error. The only error message that does not require resubmission of information is, “Birth date DD-MMM-YY and birthdate method AB provided for tag 000000124000299999999 match its current birthdate information.” As this error is letting you know that the information already exists in the CLTS database.
If your submission results show errors, the information did not process correctly. You will have to assess the information to determine why it failed, then correct it and re-submit.

How do I deactivate events through file upload?
Successful events can be deactivated. Deactivating an event will not resolve an error on a transaction. The three methods of deactivation are listed below.
Deactivating Single Event: use this method to deactivate a single event for one tag/indicator at a time.
Deactivating a Transaction: use this method to deactivate all successful events on a transaction.
Note: Birth Date events cannot be deactivated using this method. Refer to Deactivating Single Event or Deactivating Through File Upload when deactivating birthdates or contact CCIA at 1-877-909-2333.
Deactivating Through File Upload: This is an advanced method which is used to deactivate specific events for individual tags/indicators or tag/indicator ranges from one or more successful transactions. If you require assistance with this option please contact CCIA at 1-877-909-2333.

Error: This event has already been submitted OR Tag 000000124000299999999 already has an event at this time, another event cannot be applied (Transaction ID:TR#########).
There can only be one event at the same time for a tag/indicator in the CLTS database.
This error may appear when entering other events, but should not with birthdates.
To correct this error, confirm that the information has not already been submitted by performing a Tag/Animal History search. Click here for instructions.
If the event has not already been submitted successfully, re-submit the information but use a time stamp when entering the date. e.g. YYYYMMDD should be changed to YYYYMMDDHHMM
“Filename: File name provided is not alphanumeric.”
File names must use only alpha (A-Z) numeric (1-0) characters; they cannot contain punctuation or symbols such as dashes (-) or slashes (/).
An example of an incorrect file name is: CCIA/birthdates-2020
An example of a correct file name is: CCIA birthdates 2020
To correct this error, change your filename to use only alphanumeric characters, then resubmit.
Error “File type should be: Microsoft Excel Workbook (*.xls) or CSV Comma Delimited (*.csv)”
The CLTS database only accepts Microsoft Excel or Open Office Calc files, in either (. xls), (.xlsx) or (.csv) format. Microsoft Works or Word files are not acceptable.
In order to use the file upload method of entering events you must have Microsoft Office, OpenOffice or NeoOffice installed on your computer. You can download the latest versions of Open Office or Neo Office for free from the internet.
Error “Errors found in line(s):>line#1: Invalid event_type ‘birthday’ OR Invalid DOB ’10 Jul 09’”
These errors mean that the information in a column has not been entered in the correct format. CCIA templates have specific format requirements which are described beside the column names as a comment. The comment can be displayed by moving the mouse cursor over the column name.
To correct this error, change the information in your file to reflect the format required for that column, then resubmit.
Error: “Errors found in line(s): Line #1: Mandatory header event_type (other heading names may appear here) missing”
All headings in red on the CCIA templates are mandatory and must exist in an upload file. If you have information in any of the fields of the optional columns, that optional heading becomes mandatory as well.
To correct this error, confirm that the mandatory heading names appear in your spreadsheet and are entered exactly as in the CLTS database templates. To access all event templates: Click here
Error: “Errors found in line(s): Line #1: The end tag must be greater than (or equal to) the start tag”
This error means that the tag/indicator number you have entered in the Tag_End column is a smaller number then tag/indicator number in the Tag_Start column. To correct this error, ensure you have entered your tag/indicator range correctly with the lower number in the Tag_Start column and the higher number in the Tag_End column.
Error: “Your submission contained Events for over 100 different Accounts. Currently you must restrict each batch submission to 100 Accounts or less.”
This error appears because the Source_Account and/or Destination_Account columns have multiple account numbers.
If you are submitting information for one account only, confirm that the account columns only include the one account you are submitting for.
If you are submitting information on behalf of multiple accounts, you will have to limit your file to 100 accounts and create new files to accommodate the remaining accounts.
Error: Event Date must be provided. Cannot deactivate.
This error usually appears when attempting to deactivate birthdates. At the moment birthdates can only be deactivated one at a time or by file upload.
